| Fields |
| Art Teacher |
The unique, last name of the art teacher, which will be used as a
key in finding and sorting student data. If this key is actually used in student
data, the word "referenced" will
appear in the empty box above it. In this case, this value should never be changed,
nor should the record containing it be deleted. Otherwise, the referring data
will become corrupt.
Administrator names and info records also live in this file. This includes the
art coordinator, who is also a art teacher, and the district superintendent.
|
| Courtesy Title |
Mr., Mrs., Ms. and so on. Use the pulldown to pick one. If you don't
see the one that fits, use the Edit... item to add it to the list, then go back
and choose it. This title will be used in some of the letters and documents, such
as those to specific students of art teachers. |
| Full Name |
The full name of the art teacher. Since this data is not used as a sort or
data key, it may be changed (within reason), even if the record is referenced.
|
| Initials |
The 3-character, lowercase initials of the teacher or administrator.
The initials will be placed in the lower left hand corner of reports and worksheets,
along with the school abbreviation. The intent is to allow individual documents
created during mass printings to be correctly identified by the DBA in case she
trips and falls on the way across the room with an armful of papers. |
| Signature |
This is a scanned, normal signature of the
teacher or administrator, which will appear on parent,
student or interoffice letters. The file needs to be a
.JPG or .JPEG graphics document, e.g. MOORE.JPG. Follow
the instructions in Get Sig below for inserting
a signature graphic. The graphic needs to have been scanned
and resized to 1000 x 250 pixels, with a 72 ppi resolution. |
|
| Buttons |
| New |
Push this button to create a new record.
When the new blank record appears, choose a new, unique
art teacher and fill in the rest of the fields. You will
have to coordinate this action with the DBA.
|
| Get Sig |
Pushing this button brings up a dialog
showing the Signature folder where teacher graphics are
placed during installation. Pick the right one. IMPORTANT:
Do not check "Store only a reference to the
file". If you do, the signature field will not contain
the graphic when the database is copied for distribution.
All signature files must be embedded graphics in the
database.
In the case of a signature not chosen during the package
installation, rerun the install procedure from the Visions
CDROM, and select the missing signature. Then follow
the above step to insert the graphic into the teacher
record.
In the case of a new faculty member or updated signature,
the desired signature file may not be available in the
Signatures folder. If
so, navigate
to the signatures folder by going to Start->Programs->Visions->Export->Signatures
and open it. The DBA will supply you with the needed
signature file via email, floppy disk or CDROM. Put the
new signature graphic into the Signatures folder, close
the folder, and insert it into the appropriate teacher
record via the above step. |
| Menu |
Go back to the database main menu. |
| Sort |
Pushing this will sort the records by art teacher. |
| Delete |
Pushing this button will delete a art teacher record. If you really
want everything about it gone, then edit the art teacher value list, as described
above, to remove it there as well. Once again, be careful not to remove or change
a referenced art teacher. The database actually contains interlocks which will
prevent you from deleting an entire referenced art teacher record. However,
nothing has been implemented to prevent changing or deleting a value list item,
regardless whether or not its associated data record is referenced elsewhere in
the database. |
