AScore: Art Visions Scoring System

Importing Data Help Table of Contents

Description This layout is a menu accessing procedures designed to allow the art teacher or the DBA to import several kinds of data into the AScore master copy. Note that there are two ways to import initial student data, a tab-delimited text file and an Excel spreadsheet.
 
Teacher Buttons
1 All Distributed Data This button imports all student data and reference information from a floppy disk or email supplied by the DBA. Follow the procedure described in Step 7 of the Screening Process.
DBA Buttons
2 Initial Student Data (Excel) This button brings up a dialog asking you (the DBA) to locate an Excel file containing initial student data to populate the AScore database. Be sure to select the right file type from the Type pulldown on the dialog. An Excel file is one which has been generated by Microsoft Excel, a popular spreadsheet program whose native format is importable into a FileMaker database.

Each record of this file represents data for a single student in the order described in Step 3 of the Visions Screening Process. However, each data value must be in its own column in the spreadsheet with column headers as described. If this field order and column header format is not followed, the results will be garbage after import.

IMPORTANT: Before importing initial student data, Step 1 of the Visions Screening Process must be followed, during which the correct school year is chosen from the AScore main menu.
3 Specific Screening Scores This button brings up a dialog asking you (the DBA) to find a FileMaker Pro file containing student specific test scores input into art teacher copies of AScore from screening steps performed by them. While the other data described above is contained in an Excel file, this one is contained in FileMaker Pro file format. Be sure to pick the correct school year on the AScore main menu. The order of fields and data transferal will be managed by the import script. Follow the procedural details in Step 14 of the Screening Process.
4 Final Screening Scores This button brings up a dialog asking you (the DBA) to find a FileMaker Pro file containing student final test scores input into art teacher copies of AScore from screening steps performed by them. While the other data described above is contained an Excel file, this one is contained in FileMaker Pro file format. Be sure to pick the correct school year on the AScore main menu. The order of fields and data transferal will be managed by the import script. Follow the procedural details in Step 30 of the Screening Process.
